Cancellation, Attendance, and Refund Policy

At Mind Health Clinic, appointment times are reserved exclusively for each client. To ensure fairness to all clients and to maintain the availability of appointments, we kindly request that clients respect their scheduled session times.

 

Appointment Confirmation

Clients may receive a reminder or confirmation message prior to their scheduled appointment. Once a client confirms their attendance, the appointment slot is considered reserved exclusively for them.

 

Cancellation and No-Show Policy

• If you are unable to attend a scheduled appointment, please inform the clinic as early as possible.

• Once a session has been confirmed by the client, any cancellation made on the day of the appointment or shortly before the scheduled session time will be treated as a late cancellation.

• Late cancellations and missed appointments (No-Shows) will incur 100% of the scheduled session fee.

• This policy applies because the reserved appointment time is unlikely to be offered to another client at short notice.

 

Late Arrival Policy

• Clients are requested to arrive on time or at least 5 minutes before their scheduled appointment.

• If you arrive late for any reason, including traffic delays, work commitments, or personal circumstances, the session will still end at the originally scheduled time.

• The full session fee will be charged regardless of the shortened session duration.

• Additional time cannot be guaranteed due to other scheduled appointments.

 

Discontinuation of Services

• If a client does not attend a scheduled session and does not contact the therapist to reschedule, the case may remain inactive.

• If there is no communication or appointment scheduled within 3 months from the last session, it will be considered a discontinuation of services.

• Clients who wish to resume therapy after this period may be required to schedule a new intake session before continuing treatment.

 

Refund Policy

• Fees for completed counseling, psychotherapy, assessment, or consultation sessions are non-refundable.

• No refunds will be issued for confirmed appointments that are cancelled at short notice or for missed appointments.

• Any exceptional circumstances will be reviewed at the discretion of Mind Health Clinic.

 

Policy Updates

Mind Health Clinic reserves the right to modify this policy at any time. Any updates will be posted on the clinic website and will become effective immediately upon publication.
